About Opportunities — what they are and how they work
What an Opportunity is
A Lead is a person who enquired. An Opportunity is a real deal you are working on with that person: what they want (buy, sell, rent, lease), the pipeline it belongs to, the value, the expected commission, the expected close date and the stage it is at. Leads stay in the Leads menu; only serious deals appear here, so this list stays short and useful. How Opportunities are created
- Automatically (normal way): the CRM creates the Opportunity by itself when a lead reaches a ticked status (see the settings panel above): Qualified, Viewing Scheduled, Proposal / Solution, Negotiation. Type, pipeline, amount (from the lead's budget), expected commission (if a % is set), close date, contact, agent, team, marketing source and the lead's AI summary are copied from the lead. One deal per lead.
- Site visit workflow: when a visit ends with a very interested or interested customer, the existing workflow also raises the deal; it is merged with the automatic one so there is no duplicate.
- By hand: the New Opportunity button is only for a deal that has no lead.
Stages (left to right)
- Qualification – checking need, budget and timing
- Property Matching – shortlisting properties
- Meeting Scheduled – meeting is booked
- Site Visit – visit booked or done
- Interested – customer likes a property
- Offer/Negotiation – price and terms being agreed
- Booking – booking or deposit made
- Closed Won – deal done · Closed Lost – deal gone (a loss reason is required)
How it connects to the other menus
- Leads – the originating lead (use Open lead in the row menu)
- Contacts / Accounts – who the deal is with
- Meetings, Calls, Tasks, Emails, Documents – activity linked to the deal (shown in the details window)
- Properties / Listings – the properties attached to the deal
- Marketing – source, campaign and UTM fields show which channel produced the deal
- Reports and Dashboard – pipeline counts and values are built from these records
- Transactions – record the deals that reach Closed Won here
How this page stays up to date
This page reads the CRM live (nothing is copied). It reloads by itself every minute while you look at it, when you come back to the tab, after every save, and when you press the refresh button (top right; the time of the last update is shown next to it). Deals created by the workflow, or changed by other people, appear within a minute.Stage follows the lead status automatically: Qualified → Qualification · Viewing Scheduled → Site Visit · Proposal / Solution and Negotiation → Offer/Negotiation · Won → Closed Won · Lost → Closed Lost. A meeting or visit that changes the lead status therefore moves the deal too. The stages Property Matching, Meeting Scheduled, Interested and Booking are set by the agent with Edit (Interested is also set by the site-visit workflow).
